Benefits for Retention Managers

The digitization and legally-compliant preservation of the Waste Identification Form (FIR) offer numerous advantages for companies involved in waste management. The main benefits include:

Regulatory Compliance:
Digital preservation ensures compliance with Italian legislative requirements, which demand archiving FIRs for at least 5 years, guaranteeing their authenticity, integrity, and readability over time.

Operational Efficiency:
Electronic management of FIRs simplifies document processes, reduces the risk of errors, and improves information sharing among involved parties, such as producers, transporters, and recipients of waste.

Cost Reduction:
By eliminating the need for physical storage of paper documents, companies save on printing costs, storage space, and manual document handling.

Accessibility and Security:
Digital documents can be easily accessed and retrieved by authorized personnel, while ensuring high standards of security and data protection.

Implementing a digital preservation system for FIRs not only helps comply with current regulations but also optimizes company operations and promotes more sustainable and efficient document management.

Integration with document management systems uses the eDOC service provided by Entaksi.

The system meets the standards required by regulations, including:

  • ISO 27001: Information security, including extensions ISO 27017 (cloud-specific security), ISO 27018 (personal data protection in the cloud), and ISO 27035 (security incident management).

  • ISO 9001: Quality management.

Entaksi uses redundant systems to ensure operational continuity, placing particular emphasis on data redundancy, distributed across several geographically distant sites with equal roles (able to act as the primary or disaster recovery site interchangeably).

The sites hosting the retention system’s data are located within the European Union, in full compliance with regulations.

Data transmission, both between systems and to users’ workstations, is performed using encrypted protocols, with asymmetric keys based on qualified certificates issued by recognized authorities.
